Advanced Project Overview: Kithul Sap & Treacle Supply Chain Profit/Loss Calculation System
This project aims to create a comprehensive system for tracking, managing, and calculating the overall profit and loss across the entire Kithul sap and treacle supply chain—from farmer collection to final product export. The system integrates quality control, logistics, batch processing, expense management, and payment workflows, ensuring traceability and financial transparency.
Key Objectives:
- Accurately record all material movements and quality checks.
- Calculate all costs (production, transport, labor, packaging, export, etc.).
- Generate reports on profit/loss by batch, session, or export.
- Ensure traceability and compliance through digital documentation.
1. Process Workflow
A. Collection & Quality Control
- Type 1 Farmers (Kithul Sap Providers):
- Field officers collect Kithul sap from farmers and transport it to the Neluwa Quality Checking Station.
- At Neluwa, sap is tested for pH, Brix (sugar) value, and quantity (liters). Results are recorded with farmer details and a unique container ID or QR code for traceability.
- Sap is stored in freezers, labeled by harvest time (morning/day/evening).
- After ~2 days, containers are transported to the Naiwala Production Center12.
- Type 2 Farmers (Direct Treacle Providers):
- Farmers in remote areas supply Kithul treacle directly.
- A truck from Naiwala collects treacle, with quality (pH, Brix, quantity) recorded on the spot.
- Payment is made immediately based on Brix value and quantity2.
B. Transport & Issue Note
- When transporting containers from Neluwa to Naiwala, an Issue Note is generated as proof of contents for authorities.
- The system allows selection of containers, auto-generates the Issue Note with all relevant details, and enables PDF export or direct printing3.

C. Secondary Quality Check & Payment
- At Naiwala, containers undergo a second quality check (pH, Brix, quantity).
- If discrepancies are found, the farmer is notified, and payment is adjusted based on the second test results.
